How a booking gets made

Checks seating capacity before it offers a time

Honors your special and holiday hours for that date

Writes confirmed bookings to Google Calendar in real time

Sends the guest an SMS confirmation to keep

Offers the waitlist when you are full

How an AI Restaurant Reservation Actually Gets Booked

A guest calls your existing number, the AI picks up in the voice you chose and replies in the caller's own language, and it asks for the date, time and party size the way your staff would.

Then comes the part that makes it a reservation agent for restaurant phone lines: it checks before it answers. Your seating capacity, your regular hours, and any special or holiday hours you set for that date are all consulted while the guest is still on the line. If 7:30 for eight does not fit, 7:30 does not get offered.

What the caller gives

Date, time and party size, collected in plain conversation.

What the AI checks

Seating capacity, regular hours, and special or holiday hours for that exact date.

Calendar write

The confirmed reservation lands in your Google Calendar in real time.

SMS confirmation

The guest gets a text with the date, time and party size.

Waitlist offer

If nothing fits, the guest is offered the waitlist on the call.

Tables, Capacity and Holiday Hours as Booking Constraints

You tell RingFoods what your room looks like: how many tables you have and what each one seats. The booking AI uses that seating capacity to decide what it can promise on the phone. A party of two and a party of twelve are different questions, and it treats them that way.

Special and holiday hours work the same way, as a constraint rather than a note. A Christmas Eve seating that ends early, a Monday closed for a private event, a Sunday buyout at three: enter the date once and those times stop being offered. Callers on those dates hear your real hours for that day.

Large parties

A group of twelve is checked against your capacity before any time is offered.

Times it will not offer

Anything outside your hours for that date, and anything your seating cannot cover.

Where the Restaurant Reservation AI Writes Every Booking

There is no second reservation book to keep in sync. Confirmed bookings are written to your Google Calendar in real time, so the calendar your team already opens in the morning is the system of record, not a separate app someone has to remember to check.

Calls are recorded and transcribed as well, so if a booking on the calendar looks wrong, you can go back and hear how it was taken.

Confirmations, Cancellation Calls and Mid-Call Texts

When the table is booked, the guest gets an SMS confirmation with the date, time and party size. Nobody on your side has to send it.

When a reservation has to be canceled from your side, a closure, a kitchen problem, an overbooked seating, RingFoods can place automated cancellation notification calls, so the affected guest is told by phone.

Customer SMS confirmations

Sent to the guest automatically when the AI books the table, with no action from your staff.

Automated cancellation calls

Outbound calls to the affected guests when the cancellation comes from your end.

Mid-call SMS links

The AI can text your menu, directions or your restaurant page while the guest is still on the line.

What a Booking AI Can Do About No-Shows

Start with what this is not: RingFoods does not take deposits, does not hold a guest's card, and there is no no-show figure here to quote at you. What it changes is narrower. A booking the AI takes ends up in writing, and you end up with a way to reach the guest by phone when something moves.

In writing is the confirmation text, sitting in the guest's own thread with the date, time and party size, so a table booked three weeks out is something they can look up rather than something they have to remember, and a mid-call text can put your restaurant page or directions in that same thread. Reachable is the cancellation call: when the reservation has to go, the guest is notified by phone, and the table you free up can go to the next guest on the waitlist.

When You Are Fully Booked: the Waitlist

A full book does not have to cost you the guest. When there is no table to give, the AI offers the waitlist and the guest joins right there on the call. Your free RingFoods restaurant page takes waitlist signups too, from people who never pick up the phone.

Live position

Same-day guests can see where they stand in the queue.

Automatic SMS when a table frees

The next guest in line gets a text when a spot opens.

AI callback

On Professional and Enterprise plans, the AI can call the guest with the open slot.

Where a Booking Can Still Go Wrong

The AI books off the data you give it. A table count that is out of date, or a holiday closure nobody entered, produces a booking made against wrong information, and it will sound just as certain as a correct one. Keeping capacity and special hours current in the dashboard is what decides whether the bookings are right.

Large parties are the other one. A group of twelve gets checked against your capacity, but whether you want that group on a Saturday at seven is a decision with a person in it.

Getting set up takes about half an hour, your number stays the same, and plans start at $100 a month with a free 90-day trial.

AI reservation questions

Does the AI know real table availability, or can it double-book my restaurant?

It checks before it confirms. RingFoods books against the tables and seating capacity you enter, your regular hours, and any special or holiday hours set for that date, and each confirmed reservation is written into your Google Calendar in real time. Because it works from the data you provide, your table counts and hours have to be current in the dashboard. If nothing fits, it offers the waitlist rather than confirming a slot you cannot serve.

Can a guest call back about a reservation they already made?

Yes, that call reaches your line like any other call. Changes to a booking that is already made are handled by your team, on the transfer rules you set. When a reservation has to be canceled from your side, RingFoods can place automated cancellation notification calls so the affected guest is told by phone.

What happens when my restaurant is fully booked?

The AI offers the caller the waitlist, and they can join during the call. Guests who never phone can add themselves from your RingFoods restaurant page. Same-day guests see their live position in the queue, and when a table frees the next guest gets an automatic SMS. On Professional and Enterprise plans, the AI can call that guest with the open slot.

What does RingFoods do about no-shows?

Two things, and neither one is a deposit: RingFoods does not take deposits or hold a guest's card. First, the guest gets an SMS confirmation with the date, time and party size, so the booking sits in their own text thread rather than in their memory, and the AI can text your restaurant page or directions during the call. Second, when a reservation has to be canceled from your end, RingFoods can place automated cancellation notification calls so the guest is notified by phone, and the freed table can go to the next guest on your waitlist.
